Green and Spiegel, an immigration law firm, ran client intake on paper, a barrier for clients without computer access and a source of delays and errors. Ollon built a mobile friendly intake platform with dynamic questionnaires and 2FA security, integrated with the firm's MatterSphere legal database. The Canadian branch now runs on the new platform, and the US branch is considering adopting it too.
Situation
Green and Spiegel, a law firm specializing in immigration, wanted to streamline the process for clients seeking to immigrate to Canada. Many potential clients lacked access to computers, making it difficult to fill out the required documentation. The traditional process involved a lot of paperwork, which was time consuming and prone to errors, causing delays and inefficiencies. Additionally, the cost barriers of hiring a lawyer for initial assessments were significant.
Solution
Ollon developed a mobile friendly web application for Green and Spiegel, allowing clients to complete forms directly on their phones. The application includes a comprehensive front end system that qualifies potential clients for eligibility, streamlining the assessment process. Case analysts and lawyers can review submissions, request additional information, and make approval decisions within the platform, which integrates seamlessly with Green and Spiegel's internal systems. Robust security features, including 2FA with Google Authenticator, protect sensitive data, while the shift from paper based to digital workflows enhances efficiency and improves the client experience.
Results
The system was initially implemented in the Canadian branch, where it received positive feedback and continues to perform well. The success of this implementation has generated interest from the US branch, which is now considering adopting the same solution. The application was demoed to a group of executives who were highly impressed with its functionality and user experience.
